Responsibilities:

  • Prepares and consolidates standard reports and presentations
  • Organizes departmental files and documents
  • Schedules and maintains calendar of appointments, meetings, and events
  • Schedules and prepares logistics in conference calls, business functions, management meetings, and client visits
  • Prepares meeting minutes and action items
  • Assists in organizing the details of special events and departmental activities
  • Manages expenses and creates monthly expense reports reflecting supporting documents and budget code indexes
  • Creates and manages cash and reimbursement requisitions, purchase and other delivery requests as needed
  • Manages the office supplies and maintains equipment tracking record

Requirements:

  • Graduate of a Bachelor’s Degree Course (4-year/5-year course)
  • Must have at least 1 year equivalent experience in the same position
  • Must be presentable and have a pleasing personality
  • Good English Communication Skills
  • Must be proficient with various software applications programs including Microsoft Outlook, Word, Excel and PowerPoint
  • Willing to work in shifting schedules

  • 3-5 years working in the IT industry in a server administration role, preferably with IT outsourcing experience.

Building Administration:
• Coordinates and assists with all repairs and maintenance concerns
• Ensures that all preventive maintenance activities are done on schedule
• Assists in managing office space
• Facilitates renewal of statutory permits and licenses such as Business Permits, Brgy Clearance, Sanitary Permits and others
• Handles and monitors insurance coverage of the company such as Motor fleet of the company vehicles, Fire, EEI, Casualty, MSPR, Error and Omission, Surety Bond and others

Procurement:
• Receives and monitor request for office supplies, forms and other items/services
• Receives and checks office supplies and equipment deliveries for quality and completeness
• Maintains and conducts inventory of office supplies and office equipments
• Maintains and updates list of accredited suppliers and contractors
• Facilitates reports and payments pertaining to purchasing and other utility bills
• Manages dispatch of messenger

Competency Requirements:
